Who this policy covers

This policy applies to the Post 12239 website serving Jasper, Georgia, including its public pages and restricted member and administration areas. It describes this website’s practices; it does not replace the policies of the national VFW, the Department of Veterans Affairs, or organizations linked from our pages.

Information you provide

When an inquiry form is available, it collects your name, email, optional phone number, topic or membership interest, message, permission to contact you, and submission time. Authorized Post personnel can add follow-up notes, assignments, and inquiry status.

Member features may hold your name, contact details, membership number and status, roster information, service branch, biography, profile photo, communication and directory preferences, event responses, volunteer signups, and service activity reports. What is collected depends on the features you use and information entered by authorized Post personnel. Public leadership, sponsor, event, and news information is displayed when published.

Accounts and security records

Website accounts use identifying and contact information, password hashes, verification and recovery records, session information, and any enabled additional sign-in verification. Authorized administration may also use a connected sign-in provider. Role assignments, access reviews, and administrative changes are recorded to protect restricted areas and maintain accountability.

Anti-spam and security features use request information, a hashed network identifier, short-lived form tokens, timestamps, and duplicate-submission identifiers. Hosting and email providers also process operational information needed to deliver pages, protect the service, and send account or activity messages.

How information is used and shared

Information supports responses to inquiries, member access and records, event and volunteer coordination, service reporting, requested communications, and site security. Access to nonpublic records is limited by website roles. Member directory visibility follows the available directory and contact-display preferences; public pages can be viewed by anyone.

Service providers process information for hosting, storage, authentication, and message delivery. Information may also be disclosed when required by law or necessary to investigate misuse and protect people or the service. This website does not include a mechanism to sell inquiry or member data or use it for targeted advertising.

Website traffic measurement

We record visits to public pages, their URL paths and slugs, referring domains and campaign tags, timestamps, browser and device categories, language, viewport size, approximate IP-based city, region and country, full IP addresses when available, active time, and scroll depth. These reports help authorized officers and webmasters understand how visitors find the Post and which pages and News posts are useful. Form contents, account credentials, and private member or administration pages are excluded. Visitor records are not linked to named member accounts. When hosting does not supply location, the IP address is sent over HTTPS to IPWHOIS (ipwhois.io) for an approximate lookup; page paths, visit history and member information are not sent. Results are cached for up to 30 days. Missing locations in retained past visits may be estimated using current IP data. VPNs, proxies and mobile networks can report a different city; these estimates do not identify a person or street address.

Individual visit records and full IP addresses expire after 365 days. Aggregated totals without individual IP addresses are retained for 730 days. Expired details are excluded from reports and purged on subsequent analytics activity. Browser privacy signals and your No analytics choice disable this collection. Cookies, storage, and other websites

Essential cookies support sign-in and security. Browser storage remembers choices such as reduced visual effects. An embedded map may connect your browser to its provider, which can receive technical information such as your IP address. Retention, security, and your choices

Retention varies by record type and purpose. Inquiry, membership, participation, and administrative records may remain while needed for Post operations, follow-up, security, or recordkeeping obligations; this website does not promise automatic deletion after a fixed number of days.

You may ask the Post to review, correct, or delete information you submitted, or change your contact preferences. Use the contact options on our Contact page and identify the record or request without including sensitive documents. The Post may need to verify your identity, and some records may need to be retained. Where available, members can update their profile and directory choices in their account.

Access controls and other safeguards help protect information, but no online service can guarantee complete security. Do not send Social Security numbers, discharge papers, medical records, passwords, or detailed financial information through a general inquiry form.

Youth programs

Youth scholarship and Scouting pages provide program information. General website inquiries about youth participation are for parents, guardians, educators, and other adults. Do not submit a child’s name, birth date, school details, essays, or recordings through these forms. Follow the official program’s submission process instead. If you believe a child’s personal information was submitted here, contact the Post to request review and removal.
